We do not ask for, and ask you not to send us through our website forms, sensitive information such as health records, Social Security numbers, financial account numbers or passwords.
2. How we use your information
- To reply to your enquiry, prepare proposals and quotes, and schedule calls.
- To provide and manage the services you engage us for.
- To review job applications and contact candidates.
- To run our free tools and protect them from abuse (for example, rate limiting).
- To understand how visitors use our website so we can improve content and performance.
- To keep our website secure, prevent spam and fraud, and comply with legal obligations.
- To send you follow-up information related to your enquiry. We will not add you to a marketing newsletter without your consent, and you can opt out of any follow-up at any time.
We do not sell your personal information, and we do not use it to make automated decisions that have legal or similarly significant effects on you.
3. Legal bases for processing (UK and EU visitors)
Where the UK GDPR or EU GDPR applies, we rely on: steps prior to entering a contract (responding to quote and project requests), legitimate interests (replying to enquiries, improving and securing our website, recruiting), consent (non-essential cookies and analytics where required, and any marketing), and legal obligations (record-keeping and compliance).
4. How we share information
We share personal information only with service providers that help us run our business, and only as needed for the purposes above:
| Provider type | Purpose |
|---|---|
| Web hosting provider | Hosting our website, storing form submissions and server logs |
| Email service providers | Delivering form notifications and our replies to you |
| Google (Google Analytics) | Website usage statistics |
| Google (Gemini API) | Processing text you submit to our free AI tools |
| Google Fonts | Serving website fonts (your browser requests fonts from Google’s servers) |
We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger, acquisition or sale of business assets. We do not sell personal information or share it with third parties for their own marketing.
5. Cookies and analytics
Cookies are small text files stored in your browser. We use:
- Essential cookies needed for the website to work and stay secure, including caching and spam protection.
- Analytics cookies set by Google Analytics (such as
_gaand_ga_*) to count visits and understand how our pages are used. Google’s use of this data is described in How Google uses information from sites that use its services.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with the Google Analytics opt-out browser add-on. Blocking cookies won’t stop you using our website.
6. Our free AI tools
When you use one of our free AI tools (such as the summarizer, paraphraser or resume builder), the text you enter is sent from our server to Google’s Gemini API to generate the result. We don’t require an account, and we don’t use your tool inputs for marketing.
- PDF tools: PDF files are read inside your own browser. The file itself is not uploaded to our server; only the extracted text is sent for processing.
- Rate limiting: to prevent abuse we keep a temporary counter linked to your IP address, which expires automatically within about an hour.
- Please don’t enter confidential, personal, health or financial information into these tools.
Google’s handling of API data is governed by Google’s own terms and privacy policy.
7. How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy:
- Enquiries and quote requests: for as long as needed to respond and manage any resulting business relationship, plus any period required for legal, tax or accounting purposes.
- Job applications: for as long as needed to consider you for current and suitable future openings. You can ask us to delete your application at any time.
- Analytics data: according to the retention period set in Google Analytics.
When information is no longer needed, we delete or anonymize it.
8. Security
We protect personal information with reasonable technical and organizational measures, including HTTPS encryption across our website, restricted administrative access, and regular software updates. No method of transmission or storage is completely secure, so we can’t guarantee absolute security, but we work to protect your information and will notify you and the authorities where the law requires it.
9. International data transfers
Softsols is based in Pakistan, and our service providers may process data in other countries, including the United States. By contacting us, your information will be transferred to and processed in these countries, which may have different data protection laws from yours. Where UK or EU law requires it, we use appropriate safeguards for these transfers, such as standard contractual clauses.
